Special Events Manager

Overview:

Loggerhead Marinelife Center (LMC) is one of the world’s most advanced sea turtle hospitals and one of Palm Beach County’s most visited cultural destinations. Founded in 1983, the Center has achieved very robust growth and has broken ground on their Waves of Progress capital expansion of the Juno Beach, FL campus.

LMC seeks a Special Events Manager to assist in the next phase of growth of the center’s development department. This position will focus on administrative tasks, event and guest-services management, budget management, data entry, database maintenance, and a deep commitment to best-in-class donor services.

LMC’s Mission Statement:
To promote conservation of ocean ecosystems with a special focus on threatened and endangered sea turtles.

To be recognized locally and internationally as the leading authority in sea turtle education, research, and rehabilitation.

Position Description:

LMC continues to experience measured growth and is now seeking to dramatically accelerate growth within the development department in order to support the center’s expanding operational/programming needs as well as the center’s capital expansion campaign.

The Development Team serves as the Center’s ambassadors as well as the ultimate customer service representatives to prospects, donors, and guests.

The Special Events Manager provides event management support to the Development Team and will be required to maintain extreme confidentiality with all donor information and associated data. The Special Events Manager will work in partnership with the Director of Development to help manage, plan, and implement the special events strategy for Loggerhead Marinelife Center (LMC) pursuant to its policies and objectives.

The Special Events Manager will be responsible for achieving LMC’s fundraising goals while maintaining the highest standards of stewardship for those gifts and our donors.

Qualifications:

Must be a self-starter and be able to work independently as well as with a team. In addition, must have excellent organizational, writing, and interpersonal skills. Innovation and creativity is a must for this bright, energetic individual as well as strong attention to detail and a high level of integrity.

The ideal candidate will possess a Bachelor’s degree, several years of business development experience, a good awareness of the non-profit ecosystem in Palm Beach County, and a natural and strong love for LMC’s mission of ocean and sea turtle conservation.

  • Turn-key expertise hosting and promoting signature and public events (i.e. fundraisers)
  • Track-record of donor cultivation and retention:
    • Ability to expertly identify key donor/prospect segments and then follow through with the skills to elegantly execute a tailored cultivation program unique to each donor segment.

Schedule:

Hours will be Monday-Friday, normal business hours candidate must be available to work for special events.

Supervisor:

Directly responsible to the Director of Development.

Collaboration:

Development Assistants, LMC Committee Chairs, President/CEO, Grants Manager and all LMC departments.

  • Seminole Golf Tournament: $227,000
  • Run for the Sea: $55,000
  • Beach Bash: $260,000
  • Go Blue Awards: $150,000
  • Blue Friends Society: $16,000

 

Job Responsibilities:

General Administrative Duties

  • Represents the Development Department and CEO by welcoming visitors, conducting tours, arranging corporate functions, and hospitality set up and breakdown for particular meetings
  • Updates job knowledge by participating in continuing educational opportunities
      • Marketing & Development
      • Research & Rehabilitation
      • Education & Conservation

  • Acts as a gatekeeper and maintains confidentiality when necessary
  • Maintain Special Events Budget

Event Management Duties

  • Create, manage, implement, and execute all special events including, but not limited to:
    • TurtleFest (March)
    • Seminole Golf Invitational (May)
    • Run for the Sea (June)
    • Go Blue Awards Luncheon (October)
    • Beach Bash Palm Beach (December)
  • Lead Development Team to ensure all event arrangements are made, including:
    • Invitation mail out and guest correspondence
    • Committee development and formation
    • Sponsorship commitments
    • Special event income processing
    • On-Site Event management including registration and fundraising
    • Preparing sponsor recap books and guest thank you letters
    • Assist in the preparation of event program and other print materials
    • Manage external vendors
    • Event income and expense tracking
  • Circle of 100:
    • Plan and execute Circle of 100 private events (twice annually)
    • Maintain Circle of 100 promotional and correspondence materials
    • Oversee the coordination of VIP experiences including VIP Tours, Turtle Releases and Turtle Walks
  • Blue Friends Society
    • Oversee the planning and preparation processes for Blue Friends Society Social Events
    • Maintain Blue Friends Society Income and Expense tracking
    • Supervise the creation of various membership materials including membership cards and name tags
    • Oversee the maintenance of active/inactive member spreadsheet
    • Oversee membership renewal request process

Skills Required:

Advanced computer skills required: Microsoft Office (Word, Excel, and PowerPoint), Gmail, Outlook, Web & Social Media savvy a plus. Budget management – position will work closely with Director of Development and CFO.  Must have strong interpersonal communication skills and the ability to seamlessly communicate with a variety of different customers (donors).

Exempt Status:

This is a salaried position, which may require the supervision of one or more employees and requires a significant exercise of independent judgment and discretion with respect to matters of significance and which directly relates to management and the general business operations of Loggerhead Marinelife Center. The job position is exempt from the provisions of the Fair Labor Stands Act and no overtime is paid.

Professional Development:

Staff management and development – The Special Events Manager will work in collaboration with the President/CEO and the Director of Development to gain a solid understanding of how to professionally manage department staff to include scheduling, resource allocation, and professional staff development.

Budget planning and cost controls – The Special Events Manager will work in collaboration with the President/CEO and the Director of Development to gain a solid understanding of the department budget processes to ensure that the department’s approved financial resources are actively managed.  It is the Special Events Managers responsibility to ensure that the department budget that includes revenue, and costs are within acceptable ranges.  This is a collaborative process that will be supported by the Finance office.

Introductory Period:

It is the policy of LMC that all team members, including newly hired, transferred and promoted team members, will be carefully monitored and evaluated for an initial introductory period on the job.  After satisfactory completion of the introductory evaluation, such team members will be evaluated on an annual basis.
